Data Tools is a Colombian company that has been in the market for 21 years and is a BPO and ITO company that operates its clients’ business processes with technology-based solutions and an expert human team. It has a presence in several Latin American countries, among others in Ecuador and Peru.

What was the situation of the company before approving the implementation of Dynamics AX?

We have been implementing Microsoft Dynamics AX for about 3 years and we had some difficulties because we were not getting the most out of the software. We had an underutilization of our ERP tool in the company’s daily activities and we needed to have the best-quality information to take decisions.

What were the objectives with the implementation of Dynamics AX?

The objectives for the implementation of Microsoft Dynamics AX were to improve the use of our ERP, obtain better reports, better opportunities or a greater opportunity in the report delivery reports, as well as a greater use of the tool globally within the company.

What were the company’s needs?

The needs of the company are basically focused on or mainly are in opportunity and information quality. They are mainly in the areas of finance and administration so that we can have information on all the projects for all the areas involved.

What are the benefits that Dynamics AX brought to Data Tools?

There were several benefits with implementing Dynamics AX. At the beginning there was an update of our version of localization, which allowed us to have improvements in the whole part of tax calculation and in the generation of documents for third parties, for example, withholding tax certificates. In addition, there was an optimization of all our accounting and treasury procedures with greater reports and better opportunities from the reports that could be delivered to other areas of the company.

What are the benefits that Dynamics AX brought to Data Tools?

The action plan to improve our use of the ERP was initially to contact several suppliers, several Dynamics partners and among these was AlfaPeople. We selected it after we had an assessment of the state of the ERP, and it showed us all the benefits of our tool and the underutilization we were making of it.

What is the greatest challenge that Data Tools faced in the Dynamics AX improvement and support processes?

The biggest challenge we had was to involve all the people who needed to participate in this implementation, in this improvement, because although some processes were already being carried out, they had to be changed and information needed to be collected. At first, people were a little reluctant, but then they started to participate and collaborate with improving our ERP.

How has your experience with AlfaPeople been in terms of the support provided?

The experience with AlfaPeople has been very good, we have had very short response times, and the whole process from its inception was ideal and fitted into the time allotted.

What problems did AlfaPeople solve with their assessment of the Dynamics AX implementation that you had?

The problems that AlfaPeople solved with their assessment were various: in accounting, we resolved several issues, with tax issues we updated the tax calculations that had changed with the latest tax reform, and we were able to improve the times for obtaining reports for third parties. Also, another process that we improved were the magnetic media, in the treasury department we also improved the load of the banks’ flat files, in addition to there being improvements in the workflow of authorizations.

What other aspects were corrected with the assessment?

We changed the whole file process that we used to handle in Excel; now we handle it directly in Dynamics AX, and in the whole fixed assets part we also made an improvement in file control, asset tracking and in the entire area of reporting. This has been the main thing. We also had an improvement with the training they gave us to have access to the data cubes, the KPIs, the whole roll center part and user configuration and parameterization.

What area of ​your business has benefited most and why?

The area most benefited is the finance, especially because it was the one that was given the most emphasis in the assessment due to the improvements that we required and throughout the entire accounting and treasury part. But, as you know, the financial area impacts on the entire company by getting the results of financial operations sooner and more reliably.
